How we collect, use and look after the information you give us about you and your child.

Who we are
Mid Somerset RTC is a football academy operating across Bath, Radstock and Street, and part of the Junior Premier League pathway. For the purposes of UK data protection law we are the data controller for the information described in this policy.

We are registered with the Information Commissioner's Office (ICO), the UK's data protection regulator. Our ICO registration reference is ZC225167.
Information we collect, and why
We only collect what we need in order to arrange trials and run the academy safely. We do not use tracking cookies, and we do not build advertising profiles.

We deliberately do not ask you to type your child's medical details into our website. If you tell us there is something we should know, we will discuss it with you directly when we contact you to arrange the trial.
Who else sees your information
We do not sell your information, and we never pass it to anyone for marketing.
Three service providers handle data on our behalf, under contract and only on our instructions:
- Formspree delivers our trial enquiry form to us by email and stores a copy of each submission in a private Google Sheets spreadsheet accessible only to Mid Somerset RTC staff. Formspree is based in the United States, on systems hosted by Amazon Web Services, and encrypts data in transit and at rest.
- Google hosts the spreadsheet where trial enquiry submissions are stored. The spreadsheet is private and accessible only to Mid Somerset RTC staff. Google is based in the United States.
- Netlify hosts this website and handles the parent guide download requests. Netlify is based in the United States.
- hCaptcha provides the “confirm you're not a robot” check on our trial form. It is there to stop automated abuse of the form, which protects both your enquiry and our ability to receive genuine ones. To do that it looks at your IP address and how you interact with the page. hCaptcha is operated by Intuition Machines, Inc., based in the United States. It does not use what it collects to build an advertising profile of you, and we do not send it any of the details you type into the form.
Where information is transferred outside the UK, we rely on the safeguards required by UK data protection law (the UK International Data Transfer Agreement, or the UK Addendum to the EU Standard Contractual Clauses).
Our website also loads fonts, icons, an Instagram feed and a video player from Google, Cloudflare, Behold and Vimeo. When your browser fetches those, it shares your IP address with them. We do not send them any of the details you enter into our forms.
How long we keep it
Trial enquiry submissions are stored in our private Google Sheets spreadsheet and delivered to us by email. We keep this information only as long as we need it:
- Enquiries that lead to your child joining us: deleted from the spreadsheet when your child joins, at which point their details move to our separate academy register. That register is kept for as long as your child is with the academy and for 3 years afterwards.
- Enquiries that don't lead to a trial or signing: deleted from the spreadsheet within 12 months of the enquiry, and from our email within 12 months.
- Email addresses given for guide downloads: 12 months, then deleted.
Children's information
Our trial form is intended to be completed by a parent or guardian, not by a child. Because the information is about children, we are careful to collect as little as possible, to keep it only as long as we need it, and to limit who at the club can see it.
If you believe a child has given us information without your involvement, please contact us and we will delete it.
Photographs and video
We publish photographs and video of our players on this website and on our social media accounts, including Instagram. We do this with the consent of each player's parent or guardian, which we ask for when a player joins the academy.
You can withdraw that consent at any time by emailing paul.taylor@junior-premier.co.uk. We will remove your child from any material we control, and stop using their image going forward. Please be aware that once something has been posted publicly it may already have been copied or shared by others, which is outside our control.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the information we hold about you or your child;
- ask us to correct anything that is wrong;
- ask us to delete it;
- ask us to restrict or stop using it, or object to how we are using it;
- ask us to transfer it to someone else;
- withdraw your consent at any time, where we relied on consent. This does not affect anything we did before you withdrew it.

We do not make any decisions about your child by automated means.
Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office, the UK's data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this policy
If we change how we handle your information we will update this page and change the date at the top.
